AI Instructions

Under "AI Instructions" you enter the necessary background information for Cobrief AI. This helps ensure that generated responses are both precise and relevant. You can also include guidelines for your company's communication style, so that the AI's suggestions match your brand profile.

The AI instructions form the foundation that allows Cobrief's AI assistant to deliver bid drafts that are not only technically correct, but that also reflect your company's tone, style, and professional focus.

What Are AI Instructions?

AI instructions are standing guidelines you give to Cobrief AI that provide insight into who you are, what you can do, and how you speak. The result is that bid drafts, responses, and other generated text sound more like they came from you.

1. Tell the AI About the Company

The first step is to give the AI a solid factual base. This ensures that all generated texts include correct and central facts about the company. Here you should include the company's name and main business, as well as a clear description of which products or services you deliver. By defining the company's vision or core philosophy, you ensure that the AI understands the company's overarching goals.

Example: "Cobrief AS is a technology company from Oslo. We deliver innovative bid solutions with a focus on quality and customer satisfaction."

2. Highlight Your Strengths

This point is relevant for differentiating you from your competitors. The AI must learn what your unique selling points are so that they are naturally woven into the answers. You should include information about what makes you unique in the industry, whether that is a focus on sustainability, a special method, or unique certifications and awards. This gives your bid responses a strategic edge.

Example: "We are an industry leader on sustainability with 100% recyclable packaging. Our customer service has won awards three years in a row."

3. Define the Writing Style

Give the AI rules for tone and format. Should it be formal? Use short sentences? Avoid certain words? Define clear rules for language, tone, and structure. This ensures that the text has the right professional feel. You can give it guidelines for how you want the wording to be and which format or writing style you prefer.

Example: "Use professional but easy-to-read language. Avoid passive sentences. Use bullet lists for summaries."

Why Is This So Important?

Investing time in the AI instructions is a one-time investment that pays off handsomely:

  1. Reduced editing time: The better the instructions, the less time you spend correcting and adjusting the AI draft.

  2. Increased quality: The texts become more strategic and automatically highlight your unique competitive advantages.

  3. Consistent brand: Ensures that the company's communication and voice are unified across all bid responses.
