Filling out templates
Once the agent has created the first draft, you'll see a folder called Fillable templates in the Bid room if the tender documents include templates to fill out. The agent can create drafts for Word and Excel templates from the tender documents that need to be filled out. You can also create a fillable template yourself from a Word or Excel file you upload in the Bid room.
Here's how it works:
Open the bid room: Go to Bid room from the tender sidebar. Use "Create first draft" when you want the agent to help with the responses.
Find the template: Open Fillable templates in the bid room. You can also create your own template as described below.
Edit and adjust: Open a document to see the filled-out draft. From here you can easily edit the text, and regenerate all or parts of the content if needed.
Download the finished template: When you're happy with the content, click "Fill out and export". Cobrief then writes your changes into the buyer's original Word or Excel template, using the original format. Open the file and check its content and formatting before submission.
Divide the work between fields
You can set a status, assignee, and due date for each text field in a template. This lets several people work in the same template while keeping ownership clear.
At the top of the template, you can see how many fields are complete. You can also filter the fields by status and assignee. A field's status is the team's sign-off. When the agent fills in or rewrites an answer, it therefore leaves the status unchanged unless you ask it to update it.
When you assign a field to a colleague, they receive an activity notification. The field also appears as a separate row or card under Tasks â My tasks. Unassigned fields do not appear on the Tasks page. The task for the full template shows the combined progress.
Large Excel templates load in groups as you scroll. Filters and progress still apply to the whole template, including fields that are not visible yet.
Create a fillable template yourself
If you have your own template that is not part of the tender documents, you can add it directly in the Bid room:
Click "+ NewâŚ" in the top-right corner of the Bid room.
Choose "Create fillable template".
Upload the Word or Excel file you want to fill out.
Click "Create template". Cobrief finds the fields to fill in and opens the template when it is ready.
Files you upload here are used as the source for this specific template. They are not automatically added to the knowledge base.
Make a copy of a fillable template
If you need several variants of the same template, you can ask the agent to copy a fillable template in the Bid room. This is useful when you want to test an alternative answer, create one version per lot, or keep the original untouched while trying something new.
The copy becomes a new template under Fillable templates with the same fields as the original, but it can be edited and exported independently. If you want to delete a template, you still do that from the Bid room.
