See how to use Cobrief to fill out the buyer's templates.

Filling out templates

When you create a new bid in Cobrief, you'll see a folder called Fillable templates in the Bid room. Cobrief automatically generates drafts for Word and Excel templates from the tender documents that need to be filled out. You can also create a fillable template yourself from a Word or Excel file you upload in the Bid room.

Here's how it works:

  1. Create a bid: Start by creating a bid from the tender page as usual.

  2. Find the drafts: In the Bid room, navigate to the Fillable templates folder. You'll find the auto-generated documents there.

  3. Edit and adjust: Open a document to see the filled-out draft. From here you can easily edit the text, and regenerate all or parts of the content if needed.

  4. Download the finished template: When you're happy with the content, click "Fill out and export". Cobrief then writes your changes into the buyer's original Word or Excel template, preserving all formatting, ready for submission.

Create a fillable template yourself

If you have your own template that is not part of the tender documents, you can add it directly in the Bid room:

  1. Click "+ New…" in the top-right corner of the Bid room.

  2. Choose "Create fillable template".

  3. Upload the Word or Excel file you want to fill out.

  4. Click "Create template". Cobrief finds the fields to fill in and opens the template when it is ready.

Files you upload here are used as the source for this specific template. They are not automatically added to the knowledge base.

Make a copy of a fillable template

If you need several variants of the same template, you can ask the agent to copy a fillable template in the Bid room. This is useful when you want to test an alternative answer, create one version per workstream, or keep the original untouched while trying something new.

The copy becomes a new template under Fillable templates with the same fields as the original, but it can be edited and exported independently. If you want to delete a template, you still do that from the Bid room.
