The pipeline shows where your procurements are in the process ā from the moment they land in the inbox until they're won, lost or cancelled. With custom statuses you can tailor the steps so they reflect the way you actually work, for example by adding a status like āIn negotiationā or āPending approvalā.
Statuses are shared across the entire workspace, so all of your colleagues see the same steps in the pipeline.
Only administrators can create and edit statuses. Everyone in the workspace can move procurements between the statuses that exist. Read more about roles and permissions.
Open the status settings
Click the menu icon in the bottom left to open the settings, and select āPipeline statusesā under āWorkspaceā.
Here you'll see all the statuses that currently exist in the pipeline, sorted in the order they're displayed. Each status has a name and a category.
Understanding categories
Every status belongs to a category. The category determines where the status ends up in the pipeline and how procurements are counted in your reports. You can have several statuses in the same category.
The categories you can choose from include:
Evaluation ā procurements being evaluated for participation.
In progress ā procurements actively being worked on.
Delivered ā bids that have been delivered and are awaiting the outcome.
No-go ā procurements you've chosen not to participate in.
Won, Lost and Cancelled ā the outcome of the competition.
āInboxā and āHiddenā are system statuses. They're fixed, and can't be edited, moved or archived.
Add a new status
Click āAdd statusā.
Give the status a name, for example āIn negotiationā.
Choose an icon that makes the status easy to recognize.
Choose a category that describes how the system should handle the status.
Click āCreateā.
The new status appears in the pipeline right away, ready to use.
Edit or move a status
Click āEditā on a status to change its name or icon.
Use āMove upā and āMove downā to change the order the statuses appear in the pipeline.
Archive a status
If you no longer need a status, you can archive it with āArchiveā.
Before you can archive a status, every procurement on it must be moved to another status ā otherwise the action will be stopped. You also can't archive system statuses, or the last remaining status in a category.
Using the statuses
Once your statuses are in place, you move procurements between them as they progress through the process. You do this by dragging the procurement card to another column in the pipeline, or by selecting a new status from the procurement itself.
That way the whole team gets the same, up-to-date overview of where each procurement stands.
