When you create a workspace, Cobrief uses your company description to set up an initial tender search. Check the search profile before you start using the inbox.
Choose where to start
What do you want to do? | Start here |
Follow new tenders that suit your company | Open Pipeline → Inbox. These are matches from the workspace's search profile. |
Find a specific competition or search more broadly | Open Search and select filters. Searching here does not change the team's search profile. |
Research a buyer or competitor | Use Search and open the buyer or supplier. Read about market insight. |
Assess a tender | Open the tender and read the brief. See how to assess tenders. |
Write a bid | Open the tender's bid room. See how to write bids. |
Collaboration and AI features depend on your role and subscription. A padlock indicates that a feature requires an upgrade.
Invited by a colleague?
Accept the invitation and open the workspace you were invited to. You share an inbox and search profile. You do not need to set up a new search for the company.
Start by opening one tender in the inbox. To receive email alerts yourself, open Settings → Bid notifications and select Subscribe for the relevant alert. The recipient list determines who gets email.
Ask an Administrator to adjust the search profile if the matches are not relevant. If your role is Contributor, you cannot change the search profile or use the agent.
Use Cobrief without a workspace
You do not need a workspace to search for tenders. After logging in, you can use Search, open public tender pages and save personal searches with email alerts.
Without a workspace, saved searches and alerts belong to your account.
With a workspace, you also get Pipeline, team collaboration and the company's shared tender search.
Select Create workspace when you want to start the trial and work in Pipeline. You still manage personal saved searches under Search → Saved searches.
Pipeline in Cobrief
Your company gets its own pipeline, where relevant tenders are collected and followed from the first match to the final result. Pipeline includes the stages below. Their names may have been customised for your workspace:
Inbox: New tenders matching your search, waiting for a first look.
For evaluation: Tenders set aside for a closer assessment.
Go: Tenders you have decided to bid for.
In progress: Bids currently being written.
Delivered: Bids that have been submitted and are awaiting a result.
Results: Won and lost bids.
No-go: Tenders you have declined with a comment.
Hidden: Tenders hidden from the inbox without a reason.
When you find a relevant tender in the inbox, select For evaluation or Go from the tender's status menu to move it along the pipeline. To remove a tender from the inbox, select Hidden or No-go. Use the corresponding stages if your workspace has custom status names.
Tenders in No-go and Hidden are not gone. You can reopen them from the side menu and move them back into the pipeline.
Clear a large inbox
An Administrator or Member can open Inbox, then the actions menu, and select Empty inbox. Check the count in the confirmation before continuing. The tenders are moved to Hidden for the whole workspace.
There is no single undo action for this. You can find tenders under Hidden and move them back individually. Emptying the inbox does not change the search profile, so new matches will still arrive. Adjust the filtering first if the inbox is filling with irrelevant tenders.
Three ways to view tenders
At the top of the page, you can switch between three views:
Cards: Compact tender cards with key information, useful for browsing the inbox.
List: A table you can sort by relevance, deadline, publication date or value.
Board: A kanban view with a column for each pipeline stage. Drag and drop tenders to move them between stages.
During the trial and on a paid subscription, the relevance score shows how closely a tender matches the workspace's search profile. Administrators and Members can click the score to see what matched.
Search across notices
Go to Search in the main menu to search more broadly than your Pipeline filters. Here you can search notices and switch between cards and a list.
In list view, you can see Status (where the competition is in your pipeline) and Winners for competitions with a registered award. You can also filter by deadline status, publication date, competition type, place of performance and My items.
You set up saved searches with email alerts here. See Set up tender alerts for step-by-step instructions.
Get help from the AI agent
Open Agent to ask questions or get help with your tender work. Describe the task and which tender it concerns. You can also attach files in the chat.
The agent requires the Administrator or Member role. AI use also depends on your subscription and available capacity. Read about the agent.
Set up alerts and improve matches
Set up tender alerts to follow new matches by email, in Slack or in Teams.
Open Settings → Bid notifications to see the workspace's shared alerts.
An Administrator can select Create new notification, choose the channel and recipients, then click Create notification. Morning sending starts at 07:00 Norwegian time on weekdays. Alerts are only sent when there are new matches.
Check which alerts you receive. Select Unsubscribe to stop an email alert to yourself. During the trial and on a paid subscription, an Administrator can delete an alert for all its recipients. The free plan includes one shared email alert.
Adjust the search profile
The workspace's search profile is changed under Settings → Search Overview. Only an Administrator can change it. Read Customise filtering for your company for an explanation of CPV codes, keywords, countries and buyers.
Review the CPV codes, keywords, buyers, countries and locations you follow. Changes to the search profile apply to the whole workspace.
The relevance filter in Pipeline only changes the results list you see. It does not change the email alert threshold. An Administrator must change Relevance Score under Search Overview to affect shared alerts.
Open a tender from the morning brief and click the relevance score to investigate an unexpected match. See how to use the explanation.
Choose CPV codes
Open CPV Codes and search for codes that describe what you deliver. Broad codes can produce many matches. Also select the child codes you need. They are not selected automatically when you select a parent code.
Cobrief suggests codes that buyers often use alongside your selected codes. Tick the suggestions you want to follow.
Watch how the estimate of weekly matches changes. Click Save when your selection is ready. Suggestions that have not been selected and saved are not included in the search profile.
Add keywords
Open Keywords to find tenders that do not use the CPV codes you follow.
Use the suggestions or enter your own word and click Add. Choose precise industry terms and click Save. Multiple keywords match at least one of the terms. Add words in the relevant languages yourself, as Cobrief does not translate them automatically.
Use relevance scores to improve the search
An Administrator can open the score explanation and consider removing the code that caused an irrelevant match. Check which other tenders the change will affect before confirming it. Administrators and Members can view the explanation during the trial and on a paid subscription.
You can also see which codes are missing from the search when a relevant tender receives a low score. Cobrief can suggest codes to remove based on tenders you have hidden. Check the suggestions before changing the search profile.
