Tender alerts are sent when new notices match the search you follow. No email may simply mean that the search has no new matches. Use this checklist to distinguish that from a setup problem.
1. Identify the alert you follow
Shared workspace alert: Open Settings → Bid notifications in the correct workspace. Look for an email alert listing you under Sent to.
If you see Subscribe, you are not a recipient of that alert. Click the button to subscribe.
If there are no shared alerts, an Administrator needs to create one.
Your email address must be verified. Cobrief does not send shared alerts to recipients who have not verified their email address.
Check Frequency and Last sent. A weekly alert normally arrives on Monday morning. Morning sending starts at 07:00 Norwegian time on weekdays.
Personal saved search: Open Search → Saved searches and check that the search is still there. These alerts are sent to your account's email address, independently of the workspace's recipient lists. Your email address must be verified.
2. Check the saved search profile
For shared alerts, an Administrator needs to check the settings under Search Overview:
CPV Codes: Are the right codes selected and saved? Suggested codes are not selected automatically when you edit the setup. Click Save after making changes.
Keywords: Have relevant words been added and saved? Cobrief does not translate them automatically. Use local variants for other languages.
Countries and locations: Are the right countries selected? A location filter applies across the countries. Selecting only Norwegian regions can therefore exclude results from other countries.
Contracting Authorities: Has the buyer in question been excluded?
Phases: Is this notice type included in the search? Planning and results are separate choices.
Relevance Score: Is the threshold high enough to exclude new matches? This option is available during the trial and on paid subscriptions.
The threshold under Search Overview is used in shared alerts. A lower relevance filter in Pipeline only changes the list you see, not the threshold for emails.
For saved searches, open the relevant search and check its own filters. The workspace's countries, keywords and relevance threshold do not change this search.
3. Look for new matches
Open the search or inbox and check the publication dates. Tenders that have already been included in an alert are not sent again just because they are still in the inbox.
An old match therefore does not prove that a new email is missing. Different filters on the search page, in Pipeline and in the saved alert can also produce different lists.
If you find a recently published tender that you expected an alert about, keep its Cobrief link. It helps us investigate what happened.
4. Look for the email
Check spam and other folders, as well as email rules that may move messages. Also make sure you are checking the inbox for the address listed as a recipient.
If you use Slack or Teams, check the channel under Bid notifications. If the channel is missing or access has been removed, an Administrator needs to fix the setup and use Test notification.
5. Contact us when the setup looks correct
Contact us through the chat if there are new matches you believe should have triggered an alert and the expected sending time has passed. You can also email [email protected].
Include:
The name of the workspace or saved search.
Whether the issue concerns email, Slack or Teams, and which frequency you use.
When you last received an alert.
A link to a specific tender you expected an alert about.
We can then check the filtering and delivery.
