Set up email alerts, Slack/Teams alerts and saved searches for new tenders.

Cobrief has two types of tender alerts: shared workspace alerts and your personal saved searches. Both can send email to the same address.

Set up workspace alerts

An Administrator can create and change shared tender alerts. Other users can subscribe to or unsubscribe from existing email alerts themselves.

  1. Open Settings → Bid notifications.

  2. Select Create new notification.

  3. Choose email, Slack or Teams.

  4. Choose when to send the alert.

  5. Select the recipients or channel, then click Create notification.

For email alerts, you can select colleagues who have access to the workspace. Invite colleagues if someone is missing from the list.

The free plan includes one shared email alert. Multiple alerts, Slack, Teams and a choice of frequency are available during the trial and on paid subscriptions.

Shared alerts use the CPV codes, keywords, buyers, countries, locations and relevance threshold in the workspace's search profile. See how to change the filtering.

When are alerts sent?

  • Morning brief every weekday: New matches are collected and sent on weekdays from 07:00 Norwegian time.

  • Morning brief every Monday: New matches are collected in a weekly email, normally on Monday morning.

  • When the competition is published: Alerts are sent when Cobrief has fetched new matches.

No empty email is sent when the search has no new matches. 07:00 is when morning sending starts, not a guarantee that the email arrives at exactly that time.

Change or stop a shared alert

Open Settings → Bid notifications and find the right row using Sent to and Frequency.

  • Select Subscribe or Unsubscribe to change your own participation in an email alert.

  • An Administrator can open the row's menu and select Edit notification.

  • During the trial and on a paid subscription, an Administrator can select Delete notification. This stops the alert for everyone listed in that row.

On the free plan, use Unsubscribe to stop the email to yourself.

Saved searches with personal email alerts

You can save up to 30 searches, even without a workspace.

  1. Open Search.

  2. Select keywords, CPV codes, notice type, buyer, country or place of performance.

  3. Click Save search. If you have only selected countries, add at least one other filter.

  4. You can name the search, for example “Cleaning Sweden”. Without a name, Cobrief creates one from the filters.

  5. Check the filters in the dialog and click Save search.

Email is sent to your account on weekdays from 07:00 Norwegian time when there are new matches. The workspace's relevance threshold does not affect these alerts.

Not every filter on the search page can be saved in an alert. The dialog tells you if a filter will not be included. Check this before saving.

Open the Saved searches menu to find the search again. The pencil lets you edit it. The bin deletes the search and stops the emails. If you change the filters after opening the search, you can select Update or save a new search.

You can also find an overview under Your saved searches at the bottom of Bid notifications. Click View and edit saved searches to open the search page.

Personal saved searches are separate from the workspace's shared search profile. Check both overviews if you receive overlapping alerts.

Why am I getting two emails?

You may receive several emails if you follow overlapping saved searches, multiple workspaces or multiple shared alerts.

  1. Check the subject line. An email from a saved search uses the search's name and has an Open the search button.

  2. Find the same name under Search → Saved searches. Edit or delete the search if you no longer want to follow it.

  3. Open Settings → Bid notifications in the workspace. Check which rows list you as a recipient.

  4. Select Unsubscribe for the alert you do not need. Ask an Administrator to change the recipient list if the setup needs to change for the whole team.

The unsubscribe link at the bottom of an email applies to the alert that sent it. It does not stop every other alert you follow. Contact us if you still receive unwanted emails after checking both overviews.

Why is the results list different from the email?

Open the search in an email from a saved search runs the search again with the saved filters. The list may therefore contain different or more results than the original email. Open a specific tender's title when you want to see that exact match.

The workspace's morning brief has a separate view for each delivery. Open in Cobrief shows the tenders from that delivery. The email itself shows up to 25 rows, while the total also counts matches that do not have their own row.

Alerts through Slack

  1. Create an alert with Slack as the channel.

  2. Choose when to send the alert.

  3. Select Connect to Slack and approve the connection, if the workspace is not connected yet.

  4. Enter the name of the channel that should receive alerts. The channel must be public. Cobrief cannot send alerts to private channels.

  5. Click Test notification and check that the message arrives.

  6. Click Create notification.

Choose a channel the team uses for tender work so you can discuss the matches there.

Alerts through Microsoft Teams

Read the guide to Teams alerts. If the alert says that the channel does not exist, its access or setup needs to be fixed. Ask an Administrator to check the connection and test the alert again.

Tenders from other countries

Select countries under Search Overview → Countries and locations. Remember to add keywords in the relevant languages yourself. See how to get alerts from other European countries.
