✅ What are tasks in Cobrief?

How to use tasks across tenders and in the bid room.

Tasks help you keep track of what needs to be done in tender work. Cobrief can extract tasks from the procurement documents, and you can also create your own tasks for the team.

Find your tasks

Go to Tasks in the main menu to see tasks across the workspace. By default, My tasks opens, where you see tasks assigned to you.

If you want to see everything the team is working on, switch to All tasks in the sidebar.

Filter and switch views

On the Tasks page, you can filter by:

  • Project

  • Assigned to

  • Status

  • Bid phase

  • Document type

You can also switch between List and Board. List gives you a compact overview, while Board lets you work by the statuses Not started, In progress, and Completed.

Tasks inside a tender

When you are viewing a tender, you will find its tasks under Tasks in the sidebar. Here you see the tasks that belong to that tender, together with status, assignee, and where the task came from.

Click a task to see more information, change status, add comments, or connect the task to a response in the bid room.

Why can I not assign a task?

Before the bid has been created, Cobrief shows task drafts extracted from the procurement documents. The drafts describe what needs to be delivered. They do not yet have fields for an assignee or due date.

You can continue in two ways:

  • Open Bid room. If you have access to the bid room, Cobrief creates the bid if it does not exist. You can then choose "Create first draft" to get help with the responses.

  • Click "New task" under Tasks if you want to create your own task first. Cobrief creates the bid before opening the task dialog. You do not need to generate a first draft.

Once the bid exists and extraction from the procurement documents is complete, the drafts become regular tasks. Open a task to choose an assignee and due date.

Creating the bid moves tenders from the inbox or evaluation phase to the work phase in Pipeline. A later phase is kept. If the tasks still do not become available, look for an error message or an AI capacity notice. Contact support if you are stuck.

Why are the task and document counts different?

A task describes work to be done. A document is a response or file in the bid room. The counts do not need to match:

  • A task may have no documents because nobody has created the response yet.

  • A task may have several linked documents or files.

  • A document or file may be in the bid room without being linked to a task.

  • A fillable template may have many sub-tasks even though it exports as one file.

  • The document count for the competition basis refers to the buyer's files. It is not the number of responses you need to submit.

Use tasks to track work and the document overview to check the deliverables. A count alone does not tell you whether a bid is complete. If the agent gives a different count, ask it to list the documents it is counting. Compare that list with the bid room overview.

Sub-tasks in fillable templates

When a Word or Excel template contains several text fields, each field becomes a sub-task under the template-filling task. You can set a separate status, assignee, and due date for each field.

The task for the full template shows how many sub-tasks are complete and how many are assigned to you. Sub-tasks you own appear in a separate section under My tasks.

Comments and @mentions

Use the task's comment field to share an update or ask a question. Type @, then select a coworker to notify them about the comment. The mention appears under Activities and is sent by email if the person has enabled email notifications.

Create a new task

Click "New task" if you want to add something the team needs to follow up manually. Give the task a clear title, choose an assignee, and connect it to the right tender or document when relevant.
