An administrator can order, change and cancel a Cobrief subscription. If your workspace is connected to another subscription, make changes in the workspace that pays.
How to order a subscription
Choose a plan and review your order:
Go to "Settings": You will find this at the bottom of the menu on the left.
Select "Prices and plans": This opens the overview of available plans.
Choose a subscription: Review the options and choose the plan that best fits your needs. Consider how much AI capacity you need, and how many users and contributors you have. Capacity is shared by the whole workspace and shown as an estimated number of tenders per month.
Note: Prices exclude VAT. Plan cards show a monthly price even when Yearly is selected. The annual total appears in the order summary and is billed annually. Select Monthly at the top if you want a monthly agreement.
Complete the order: Review the summary and confirm the subscription.
How to change your subscription
Has your company grown, or have your needs changed? You can upgrade or downgrade your subscription at any time.
Go to "Settings", then "Prices and plans".
Find your current subscription and review the other available plans.
Make your changes: Click "Order" (when the price increases) or "Save" to switch plans or adjust extra AI capacity.
An upgrade (to a more expensive plan) takes effect immediately, giving you access to the new features straight away. You will be billed for the difference.
A downgrade (to a less expensive plan) or a reduction in extra AI capacity takes effect at the next renewal date. You keep full functionality and capacity until the period ends.
When switching from annual to monthly billing, the entire change takes effect at the next renewal. This also applies if you upgrade at the same time. Keep annual billing on the new plan if you want the upgrade to take effect immediately.
Administrators can find current AI usage under Settings → Usage. This shows how much of the month's AI capacity the workspace has used, when capacity resets, and how usage is split between users and workspaces.
On paid plans, Usage per activity shows what the recorded AI capacity was used for. Only Agent and AI chat and Price sheet filling count towards the monthly capacity. The percentages show each activity's share of the usage recorded in the period.
Example: The workspace has used 20% of this month's capacity. The agent accounts for 50% under "Usage per activity". The agent has therefore used 10% of the full monthly quota. The 50% describes the distribution of what you have already used.
Capacity resets at the start of each month, based on Norwegian time. Unused capacity does not roll over. The activity breakdown is calculated from usage recorded in the new period. An activity may therefore show 100% even if you have only used a small part of the monthly quota.
If capacity is used up, you need to wait until the next month or buy more to continue in the agent chat or with Price Sheet Filling. Standard briefs, file uploads, Flowcase and search suggestions continue to work.
Purchase extra AI capacity
An administrator in the paying workspace can purchase a top-up under Settings → Usage. Click Purchase AI capacity, choose a package and review the summary before confirming.
The packages are:
NOK 2,000 of AI capacity for NOK 2,000
NOK 5,000 of AI capacity for NOK 4,500
NOK 20,000 of AI capacity for NOK 16,000
Prices exclude VAT. The dialog also estimates how many bid drafts, price sheet fillings or questions each package covers.
The top-up is used only after the monthly allowance has been depleted. It remains valid for 12 months from the purchase date and requires an active paid subscription. The workspace can purchase directly once the subscription has been active for at least 14 days. Contact support if you need capacity sooner.
You can purchase up to NOK 50,000 per calendar month and NOK 200,000 over 12 months. Cobrief lets you know in the Usage panel if you have reached either limit.
The purchase is invoiced separately through the usual billing process. The subscription must have an invoice contact before you confirm.
Cancelling the subscription
Check your agreement and the date shown in Cobrief before confirming cancellation.
Go to "Settings" → "Subscription" and select "Cancel subscription".
Confirm cancellation: Follow the instructions and confirm that you want to cancel.
Your subscription remains active until the end of the paid period (month or year), giving you time to finish ongoing work.
Before you leave
Download any bids and documents you will need, and check the files before the subscription expires. Contact us in the chat if you need help retrieving your material. Downloading a bid is not a complete export of the workspace.
Several workspaces on the same subscription
Under Settings → Subscription → Extra workspaces, an administrator can connect an existing workspace or select Create and connect new. You must have permission to manage the subscription in both workspaces to connect them.
The workspaces share a subscription and AI capacity. Members, roles and documents remain separate. Connecting the subscriptions does not automatically give you access to the other workspace.
