A workspace brings together a company's tenders, bids, knowledge base and colleagues. You can join several workspaces using the same login.
Switch to another workspace
Open Settings.
Select Your workspaces.
Find the workspace in the list, or search for its name.
Click the workspace you want to open.
The list shows the workspaces you can access. If a workspace is missing, an administrator there needs to invite you. Use the same email address you already log in with.
Your company already has a workspace
If you register a company that already has a workspace in Cobrief, you get two options: request access to the existing one, or create your own.
Select Request access. If you have not verified your email address yet, first click the link in the email you received when you signed up.
The administrators of the workspace receive an email about the request.
If they accept it, you receive an invitation by email. Open it and sign in with the same email address. You will then have access.
We do not show who administers or belongs to the workspace. If you do not hear back, you can ask a colleague directly, or select Create your own workspace.
What stays separate?
Each workspace has its own members, roles, tender settings, bids and knowledge base documents. You can be an administrator in one workspace and a contributor in another.
This gives you separate places to work, for example for different companies within a group. Access to one workspace does not automatically give you access to the others.
Everyone with access to a workspace can see its tenders. Cobrief does not have separate access controls for individual tenders. Hiding a tender hides it for the entire workspace.
Create an independent workspace
Go to Settings → Your workspaces.
Select New workspace.
Register the correct company and complete the setup.
This creates a workspace with its own subscription. Use the steps below if an existing workspace should pay for the subscription.
Check the company name, country and registration number before continuing. A company can have several workspaces, for example one per department.
Add a workspace to the same subscription
Start in the workspace that will pay. You must be an administrator there.
Open Settings → Subscription.
Find Extra workspaces.
Select Create and connect new and complete the registration.
Already created the workspace? Select it under Connect to an existing workspace and click Connect. You must be able to manage the subscription in both workspaces.
The workspaces use the paying workspace's subscription. Plan changes are made there. Content and member access remain separate.
How is AI capacity shared?
Workspaces on the same subscription share one monthly quota. The quota comes from the paying workspace's subscription. Two workspaces therefore do not give you twice the AI capacity. The fee for an extra workspace gives you access to that workspace without increasing the AI quota.
No workspace has its own reserved share. Usage from all connected workspaces draws on the same quota, and one workspace can use up all the capacity.
For example: You have two workspaces on the same subscription. If one uses 80% of the monthly quota, you have 20% left between you. Either workspace can use what remains. If one uses the entire quota, both workspaces have run out of AI capacity. You then need to increase the capacity or wait until the next month to continue actions that require available AI capacity.
If you buy extra AI capacity for the subscription, the workspaces share that capacity too. The quota resets at the start of each month, based on Norwegian time.
Workspaces with separate, independent subscriptions each have their own quota. If you later connect them to the same subscription, the paying workspace's quota applies. The previous quotas are not added together.
What do additional workspaces cost?
The plans include one workspace. Extra workspaces are added to the total price, along with any extra users and extra AI capacity. Check the total under Prices and plans.
A person with the same email address counts once as a user across workspaces on the same subscription. This applies to administrators, members and custom roles. Contributors have separate limits.
